POSITION: Office Administrator- role to begin start of April 2020
OFFICES: TURTLE KEY ARTS Office Lyric Hammersmith- London
REPORTING TO: Chief Executive Officer & Artistic Director.
HOURS OF WORK: Part-time (24 hours per week) – 3 month probation period
SALARY: £20,280 - £23,400 per annum, based on experience

As creative producers we enable each project to reach its full artistic potential and ensure that participation and education is embedded at the heart of everything we do.  Turtle Key Arts (TKA) are based at the Lyric Hammersmith and part of the Lyric Partnership along with a number of other West London based arts organisations. 

Our work has a UK and international reach through a wide variety of innovative projects with many different collaborators and partners, currently including the companies: Ockham's Razor, Amici Dance Theatre Company, Joli Vyann, Open Sky, AIK Productions and Oddly Moving; and recent collaborations with: English Touring Opera, Royal College of Music, The Wigmore Hall, National Portrait Gallery, Lyric Hammersmith, Opera North, The Royal Court Theatre, Park Theatre and Oxford University. 

We have played a committed role in advancing participation in the arts by disabled, disadvantaged and socially excluded people, and are widely recognised as a leader in this field, often charting new territories with projects for people with Dementia, young people with Dyslexia, young people on the Autism Spectrum and young people with HIV.

Turtle Key Arts was formed in 1989 as a unique and groundbreaking accessible space; and accessibility for all continues to be a key philosophy of the company. 

Position Outline 
  • The Administrator will take charge of the general day to day management of the TKA office 
  • Take charge of issuing contracts across the board for all TKA’s projects and companies 
  • Drafting and updating of all Policies, subscriptions and renewals 
  • General management of office including: ordering supplies, filing, post 
  • Diary organisation for the company 
  • Safeguarding- keeping track of policies and running DBS checks for workshop leaders and volunteers 
  • Liaison with Lyric Hammersmith through partnership network, including meeting and rehearsal room booking 
  • Provision of confidential, efficient and effective high- level administration support at all times to the CEO, Artistic Director and senior management team, taking a proactive approach to ensuring that all tasks are completed to the highest standard 
  • General bookkeeping support for the Finance Manager 
  • The management of TKA’s record keeping and archive, both physical and digital. Including managing the TKA’s offsite storage unit
  • Maintaining appropriate filing regimes, and monitoring and reporting systems, and carrying out other administrative duties 
  • Managing the provision of office equipment and monitoring the petty cash budget 
General duties: 
  • Promote customer relations by displaying a positive attitude and company service focus 
  • Manage and work alongside TKA’s staff through appropriate communication and a positive attitude 
  • Ensure personal presentation, punctuality and reliability, which reflect the image of the charity 
  • From time to time, Identify and resolve challenging situations as they arise both internally and externally. 
  • Participate in training as directed. 
  • Event assistance and representing TKA 
  • Liaison and thank you correspondence with Funders and donation data 
  • Other reasonable duties as directed by the CEO. 
Minimum Qualifications and Experience 
  • Minimum of 3 years professional experience 
  • Previous experience working in the performing arts or charity sector (desirable - not essential) 
  • Demonstrated secretarial, administrative and organisational skills 
  • Experience of basic bookkeeping and a knowledge of SAGE. AAT level 2 desirable.
  • Excellent computer skills including, Outlook, Word, Excel, Powerpoint.
  • Experience working with SAGE Accounting software (desirable) 
  • Excellent communication and interpersonal skills with the experience of dealing confidently and professionally with senior staff from both inside and outside of the organisation 
  • Highly developed written communication skills with excellent attention to detail, including proofreading skills and working to a high level of accuracy 
  • Excellent problem solving ability 
  • Ability to work under pressure and meet deadlines 
  • Ability to work well within a team environment building and sustaining good working relationships 
  • Examples of self-motivation and ability to work on own initiative
